Adding documents

Documents can be stored at different levels within the Nmbrs application. This functionality can be used to store documents in a logical place for your own use or for information sharing.

Documents at different levels

You can add a document to a company or employee. To do this, go to the level at which you want to add the document and click on Debtor documents at debtor level, Company documents at company level or Employee documents at employee level. At every level, the documents are also easily accessible via the paperclip in the horizontal navigation bar.

 

Add document

In the situation below, the documents at company level have been taken as an example. Adding a document works the same way on the other levels. Note: You can only add one document at a time.

1. Click Add Company Document. Then the following pop-up will open: Screenshot_5.png

2. Select a file, or drag a file to this area.

3. Select the document type, the following options are possible:

Debtor and company level:

  • Company logo
  • Contract
  • Instruction manual
  • Giving data for payroll taxes
  • Mutation form
  • Other
  • Work permit

Employee level:

  • Curfew
  • Contract
  • CV
  • diploma
  • Photo
  • Photo employee
  • ID card
  • Giving data for payroll taxes
  • Motivation letter
  • Other
  • Schedule

4. Using the plus (+) sign you can add your own type.

5. Indicate whether the employees are allowed to see the document in their Nmbrs portal.

6. Click Save.

 

Pay attention:

  • Depending on the page where you add a document, a separate folder will be created. For example, when a document is added in "Training", a separate folder will be created (or supplemented) for this at the relevant employee.
  • When you add a document at the debtor level and indicate that it must be visible to the employee, this document becomes visible to all employees of the debtor. You can find/delete the document again at debtor level.
  • When you add a document at company level and indicate that it should be visible to the employee, this document becomes visible to all employees of the company. You can find/delete the document again at company level.
  • The maximum file size per document is 15 MB.
  • If an employee is not yet employed or has been employed for 0 months, you will not see the documents of this employee at company level.
  • The employee who is not yet employed, does have access to the company documents that have been made visible to the employees.
  • The documents are sorted alphabetically, you cannot sort them yourself.
  • You can add/download one document at a time.

Employee Login

When adding a document you can choose to make the document visible for the employee. This option is available on every level. Once the option is selected on 'Yes', the document will be visible in the 'Documents' dashlet in the employee login.
